Connect WhatsApp, Facebook, Instagram and LinkedIn

Use your own developer apps and connect the identities your company acts as.

Before you begin

You need owner or dashboard editor access to a business workspace. Create your own developer app: Meta for WhatsApp, Facebook or Instagram, LinkedIn for LinkedIn. Botchi provides no shared developer app for these services.

Your app owns the messages, posts and provider rate limits. The connection dialog walks you through the provider setup.

Connect WhatsApp

  1. Create a Meta Business app and add the WhatsApp product.
  2. Add and verify your business phone number in your WhatsApp Business Account.
  3. Create a system user and assign the app and WhatsApp Business Account with full control.
  4. Generate its token with expiry Never and the whatsapp_business_messaging, whatsapp_business_management and business_management scopes.
  5. Open Tools, select WhatsApp and choose Connect number.
  6. Enter the phone number ID and the token. Add the WhatsApp Business Account ID if you need template, flow or analytics tools. Choose Connect number.
  7. In the Messages step, save your Meta app secret: in Meta for Developers open your app → App settings → Basic and choose Show next to App secret. It is not the access token or the verify token; see Meta's Basic Settings documentation.
  8. Paste the callback URL and verify token shown in Botchi into your Meta app's WhatsApp webhook configuration, choose Verify and save, and subscribe to the messages field. The step shows when Meta has verified the webhook.

An authorized partner can connect WhatsApp from a live partner session. The connection belongs to the customer workspace, and incoming workflows run as its owner.

Several numbers on the same Meta app share one workspace app secret and webhook: for the next numbers the Messages step is already done. The connector page shows the same setup under Receive messages.

Watch out — Without the app secret, the number's tools stay unavailable. Without the messages subscription, incoming messages cannot reach your workflows.

Next, configure a message-received workflow. For replies, use the event's reply address as the recipient, with digits and no leading plus sign. Select the sending step's connection; when you have several numbers, choose the number's connection on the trigger.

Free-form messages require the recipient to have messaged your business within Meta's 24-hour customer-service window. Outside it, send an approved template; Meta bills template messages.

Connect Instagram

  1. Create a Meta Business app and add the Instagram product.
  2. Choose API setup with Instagram business login.
  3. Use a Business or Creator Instagram account and ensure the token creator has a role on the app.
  4. Generate a token for that account and accept the offered permissions, including insights, comments and messages.
  5. Open Add tools in Botchi and select Instagram.
  6. Paste the token and choose Connect Instagram.

This setup does not require a Facebook Page. Instagram tokens last 60 days; Botchi renews them automatically before expiry. If renewal fails, replace the token for the same identity.

Connect Facebook

Facebook tools read Lead Ads leads, manage Page posts and comments, and report on ad performance. Ads are read-only: agents cannot change budgets or campaigns.

  1. Create a Meta Business app in the business portfolio that owns your Pages and ad accounts, and add Marketing API.
  2. In Business Settings, create an Admin system user. Assign it your app, your Pages with full control, and your ad accounts.
  3. Under Integrations → Leads Access, allow the system user to read your Pages' leads.
  4. Generate the system user token with expiry Never and the permissions listed in the connection dialog.
  5. Set the Meta app to Live. Meta returns no leads in Development mode and may require App Review for leads_retrieval.
  6. Open Tools, select Facebook and choose Add connection. Name the connection after its client, paste the token and choose Connect.
  7. In the Pages step, choose the Pages and ad accounts the connection covers. You can change them later from the connector page.

A connection reaches only the Pages and ad accounts selected for it. An agency can connect the same token once per client. A Page or ad account belongs to one connection at a time: unselect it there before moving it.

System user tokens do not expire. If one is revoked, choose Reconnect on that connection; its name and selections stay. Meta keeps leads for about 90 days.

Start workflows on new leads

This is the optional New leads step of the connection dialog, also on the connector page under Receive new leads.

  1. Save your Meta app secret from App settings → Basic. Botchi checks it against the token's app.
  2. In your Meta app, add the Webhooks product and select Page.
  3. Paste the callback URL and verify token shown in Botchi, then choose Verify and save.
  4. Subscribe to the leadgen field. Botchi subscribes the Pages selected on each connection automatically.
  5. Create a workflow with the Facebook · New lead trigger and choose the client's connection.
  6. Send a test lead with Meta's Lead Ads Testing Tool.

A lead starts only workflows whose trigger names its Page's connection. The connector page lists what each connection still needs for new leads; fix it, then choose Retry. A token Meta could not fully check serves the tools only; reconnect it for new leads.

Connect LinkedIn

  1. Create a LinkedIn developer app associated with your company's LinkedIn Page, where you are an admin.
  2. Add Sign In with LinkedIn using OpenID Connect and Share on LinkedIn to the app.
  3. Generate a token with the offered scopes, including openid, profile, email and w_member_social.
  4. Open Add tools in Botchi and select LinkedIn.
  5. Paste the token and choose Connect LinkedIn.

LinkedIn tokens last 60 days from generation and require manual replacement. Botchi warns you before expiry. Paste a fresh token for the same member when reconnecting.

Company Page posting, comments, reactions and statistics also require LinkedIn to approve the Community Management API product on your app. Member posting works without it.

LinkedIn can publish images, videos, documents and article thumbnails from readable Workspace files without public hosting. External HTTPS media URLs also work.

Select the publishing identity

  1. Check the handle, member name or phone number shown for the connected account.
  2. Bind that account to the agent's tools, or select it on the workflow step.

Each provider supports several connected identities. An agent or workflow acts as the one you select, so different brands can use different accounts.

Check incoming messages and leads

The WhatsApp and Facebook connector pages list what Meta recently delivered to your webhook and what happened to each event: delivered to your workflows, ignored, or failed, with the reason.

An event is ignored when no active workflow listens to it, or when its number or Page is not selected on any connection of this workspace. Botchi retries temporary errors; a persistent failure, such as Meta refusing access to a lead or a mismatched app secret, needs a fix in your Meta app or connection. After fixing it, an owner or dashboard editor can choose Retry on the failed event.
