# Manage files

> Find, upload, edit, protect and restore company files.

## Before you begin

Dashboard viewers can browse, preview and download. Owners and editors can create, upload, edit, move, protect and restore files. App source remains read-only; manage it through [Apps](/en/docs/apps/build).

## Find and add files

1. Open **Workspace** and browse the destination folder.
2. Search by name, path or description to find existing material.
3. Choose **Upload files**, or drag files onto the page.
4. Open a file to preview it or download the original.

Search covers the folder you are in and its subfolders; at the top level, the whole Workspace. From two characters it also matches indexed content in text, PDFs, office documents and spreadsheets. **In name** lists matching folders and files; **In content** lists the other files whose content matches, most relevant first, with their best excerpt. Open an excerpt to go to its page or sheet. Changed files are indexed again; temporary files, app source and generated media are excluded.

Uploads accept any file type. Unsupported filename characters are normalized; long names are shortened and collisions receive numbered suffixes. Chat attachment labels keep the original name.

Previews support text, Markdown, JSON, HTML, code, media, PDFs and spreadsheets. Download the original when a preview reaches its limits. Preview adjustments do not modify spreadsheet files.

Agents can also read Word, PowerPoint, OpenDocument, RTF and EPUB files. PDF text reads use billed OCR, including scans and embedded forms. Clean native text is a fallback when OCR cannot run. Visual inspection of complete PDF pages does not use OCR. Agents can also look at the pages or slides of Word, PowerPoint and spreadsheet files, OCR them when text sits in images or charts, and create or edit them, keeping their formatting.

## Edit and organize

1. Open a text, Markdown or JSON file.
2. Type directly in it. Changes save by themselves, and the header shows when they are saved.
3. Use **Rename** or **Move** from an entry's actions to reorganize it.

Markdown files open as formatted text: type `/` to add headings, lists, tables, images, charts or diagrams, and `@` to link another Workspace file. Images you add are saved next to the document. Choose **Source** to edit the Markdown itself; a file that formatted editing would rewrite opens in **Source**.

Members who cannot edit the file see it read-only. If another person saves while you edit, saving pauses until you keep your draft or load theirs. **Rename** preserves the file extension. **Move** chooses a destination folder and cannot move a folder inside itself. Descriptions can be edited independently of file contents.

You can also ask the dashboard Assistant to create or update files, including Excel workbooks. Review its write proposal before approving it.

## Protect reference material

1. Select an ordinary file or folder, such as a policy or brand reference.
2. Enable **Block agent and workflow changes**.
3. Confirm the permission change.

Folder protection applies to everything below it, including agents with read-and-write access. It preserves reading while blocking runtime changes. It is unavailable inside an agent's Home except under Chats/.

> **Watch out** — Dashboard operators can still maintain protected content. System entries follow fixed structural rules and cannot be toggled.

## Restore or keep files

1. Move an unwanted ordinary entry to **Trash**.
2. Open **Trash** at the Workspace root to recover a deleted file.
3. Choose **Restore** within seven days.

After seven days, deletion becomes permanent. Trashed files still count toward storage. Agent grants reach nothing while a file is trashed; restoring it restores access. Deleting an agent chat does not delete its Workspace attachments.

For temporary material you need to keep, choose **Keep**, rename it or move it. See [expiration rules](/en/docs/workspace/paths).

## Refresh company context from your website

1. Open COMPANY.md or DESIGN.html.
2. Choose **Regenerate from website**.
3. Compare the proposed version with the current file.
4. Choose **Replace the file** to apply it, or **Discard this version** to keep the current file.

The same action is available in **Settings → Workspace**. Regeneration requires owner or editor access and a company website. Nothing is replaced before your review. Website setup does not write account instructions or copy website pages into Workspace.
