# Connect Google, Microsoft and email

> Connect each company identity once, then select it for the tools that need it.

## Before you begin

You need a business workspace and owner or dashboard editor access. Use an identity your company intends agents and workflows to act as.

## Connect Google or Microsoft

1. Open **Tools**.
2. Choose **Add tools**.
3. Search for Google or Microsoft.
4. Select the provider.
5. Sign in with the company identity and authorize the requested permissions.
6. Open the connector and check the connected identity.

To add another identity, open the connector and choose **Connect account**. Connect once per identity; a workspace can hold several accounts for the same provider.

Next, [bind the connected account to the agent's tools](/en/docs/agents/tools), or select it for a [workflow tool step](/en/docs/workflows/build). Different tool groups, and different workflow steps, can use different company identities.

| Provider | Available services |
| --- | --- |
| Google | Gmail, Calendar, Drive, Docs, Sheets, Slides, Tasks and Contacts |
| Microsoft | Outlook, Calendar, OneDrive, Excel, OneNote, Teams, To Do and Contacts |

Google Health is unavailable and is not requested during Google connection.

## Add an IMAP/SMTP mailbox

1. Open **Tools**.
2. Choose **Add tools** and select Email, or open an existing Email connector.
3. Choose **Add mailbox**.
4. Enter the mailbox identity and an app-specific password.
5. Enter the provider's IMAP and SMTP hosts, ports and security settings.
6. Submit the mailbox for verification.

Botchi verifies both protocols, requires TLS, discovers the mailbox's actual special folders, and encrypts the password. The saved password is never returned to the browser. This supports iCloud, Yahoo and other standards-based mailboxes.

Bind the exact mailbox the agent should use. Email tools search and page folders, read messages, change read/starred state, and move, archive or trash batches. They also manage drafts, restore messages from trash, reply, forward, send attachments, and save received attachments into Workspace.

## Renew authorization

1. Open the connection flagged in **Needs attention**, or the affected agent's tool panel.
2. Choose **Re-authorize account** when a Google or Microsoft connection lacks a tool's required permissions.
3. Sign in as the same provider identity and approve the permissions.
4. Check that the tool remains bound to the intended account.

> **Watch out** — Signing in as a different identity does not switch an existing tool binding. Reauthorize the original identity or explicitly select the newly connected account.

## Use Google Calendar safely

1. Select a calendar the connected identity owns or already has access to.
2. Specify whether your request concerns a timed, all-day or recurring event.
3. Use an occurrence ID for one meeting, or the series ID for the whole recurrence.
4. Specify whether Google should send invitation or update emails when changing an event.

Calendar tools read guests and Meet links, check availability, create or edit events, manage guests while preserving other invitations and replies, and RSVP for your identity. Listings offer continuation pages. After creating a Meet link, a follow-up read may be needed before the link is ready.
